Pharmia is developed and operated by Bento Studio Inc. (“Bento”), whose registered address is 117 rue de la Canardière, Terrebonne, Quebec J6W 6K3, Canada (NEQ 1180894173). This policy applies to the Pharmia application, its modules, and related support communications that link to this page.

In many contexts, a customer pharmacy determines why and how its patient and workforce information is processed. Bento then processes that information to provide Pharmia on the pharmacy’s instructions. For some activities — such as account administration, security, and support — Bento may be directly responsible for the processing.

Depending on how you use Pharmia, we may process the following categories:

• Account and professional identity: name, work email, role, pharmacy, permissions, and authentication identifiers.
• Information provided in clinical workflows: information a patient, pharmacist, or authorized team member chooses to enter, including health information when required by the service.
• Usage and security: IP address, device, browser, sign-in dates, product actions, audit logs, and security events.
• Support: contact details, request content, non-sensitive attachments, and resolution history.

We ask that you never send patient or clinical information to support by email.

• Create and administer accounts and permissions.
• Provide the consultation, assisted-analysis, search, and follow-up workflows requested by the pharmacy.
• Present structured information to authorized professionals for review and validation.
• Maintain security, prevent unauthorized access, and preserve audit records.
• Diagnose issues, respond to requests, and improve service reliability.
• Meet contractual, legal, and regulatory obligations.

Pharmia may use AI-assisted features to structure information, support search, and generate suggestions. Patient information is not used to train public or general-purpose AI models.

System-generated output does not replace professional judgment. A pharmacist or other authorized professional must review and validate clinical information before acting on it.

We may disclose information only as needed:

• to the customer pharmacy and its authorized users;
• to hosting, security, authentication, communications, or infrastructure providers bound by confidentiality and protection obligations;
• when required by law, valid legal process, or the protection of people and systems;
• as part of a legitimate business transaction, subject to appropriate safeguards.

Bento does not sell personal information or create advertising profiles from Pharmia data.

Pharmia operational data is hosted in Canada. We retain information only as long as needed to provide the service, secure accounts, fulfil pharmacy agreements, and meet applicable legal or professional obligations.

Patient content sent to AI features is not retained by external model providers to train their models. Certain records, audit logs, or backups may still be retained for a defined period when required for security, law, or professional obligations. They are then securely deleted or de-identified.

We use administrative, technical, and organizational safeguards appropriate to the sensitivity of the information, including access controls, authentication, logging, encryption where appropriate, environment separation, and security monitoring. No system is perfectly secure; we continuously assess and improve these safeguards.

Depending on the context and applicable law, you may request access to or correction of your information, withdraw consent, close an account, or request deletion of information that does not need to be retained.

Pharmia is intended for pharmacies, their authorized professionals, and patients participating in a workflow provided by their pharmacy. It is not designed to let a child independently create a general account. When information about a minor is needed for care, the pharmacy must handle it in accordance with applicable professional and legal requirements.

We may update this policy when our services or obligations change. The effective date at the top of the page will be updated, and we will provide additional notice when a material change requires it.
